1. BOOKING

When making a reservation, the customer must provide their name, email address, phone number, address, and credit card details for reservation confirmation. A booking confirmation will be sent automatically to the email address provided after the reservation has been made. If the message cannot be found, please also check your spam folder.

By making a reservation, the customer accepts the current booking terms and conditions. The reservation is binding.

If the reservation is made for another person or through an external service provider, the person making the reservation is responsible for providing the guest’s up-to-date contact details and forwarding necessary information for the guest staying at the hostel.

2. PAYMENT

A valid payment card is required to make a reservation. The card will be verified at the time of booking and the payment will be charged according to the terms of the selected rate.

Additional services are paid either at the time of booking or on site. We accept the most common debit and credit cards as well as cash (euro).

Invoicing for corporate customers is arranged on a case-by-case basis through our sales service. An invoicing fee of €12 applies to invoice payments.

3. ARRIVAL AND DEPARTURE

Rooms are available from 15:00 on the day of arrival and must be vacated by 11:00 on the day of departure. Guests are welcome to use our luggage storage on the day of arrival and departure, subject to reception opening hours.

For security reasons, only registered guests are allowed to stay or spend time in the hostel premises. All guests must have a valid official identification document with them.

4. CANCELLATIONS, CHANGES AND NO-SHOW

Cancellation and modification terms depend on the time of booking and the selected rate type. Any special conditions will be stated at the time of booking.

If the customer cancels the reservation or fails to arrive without cancelling (no-show), the fee will be charged according to the terms of the selected rate.

For changes or cancellations of bookings made through third-party booking sites, please contact the respective service provider.

5. CANCELLATIONS DUE TO ILLNESS

In cases of serious illness or accident, the cancellation must be reported without delay before scheduled arrival, and a medical certificate must be provided within 14 days of the cancellation. In such cases, only an administrative fee of 15€ per room will be charged. Refunds will be issued to the original payment method.

Interruption of the stay or cancellation during the stay does not entitle the customer to a refund. Guests are advised to check the coverage of their travel insurance.

6. GROUP BOOKINGS

Group booking terms apply to reservations that include at least five (5) accommodation units and/or more than 10 persons.

Group reservations can be cancelled free of charge up to 30 days before the start of the stay. Cancellations made after this time or failure to arrive will result in the full booking amount being charged.

For group reservations, we kindly ask that a list of guests is provided no later than 7 days before arrival.

Bookings made through third-party sites may have different terms. Please review them carefully before finalizing your reservation.

7. PETS

Pets are allowed in some rooms. Pets are not permitted in shared dormitory rooms.

A pet cleaning fee of €15 per room per stay applies. If you are travelling with a pet, please contact the hostel before making a reservation to ensure that a suitable room is available.

8. LIABILITY FOR VALUABLES

Hostel Café Koti is not responsible for the loss of or damage to guests’ valuables during their stay.

9. GUEST LIABILITY FOR DAMAGES

Guests are responsible for any damage caused by themselves, their travel companions, or their pets within the hostel premises. This applies to both intentional and unintentional damage. Hostel Café Koti reserves the right to charge the customer for the costs of any damage caused.

10. CHILDREN

Guests must be at least 18 years old to stay in dormitory rooms.

An extra bed is available in some rooms. Baby travel cots are available in limited quantities and must be requested in advance.

11. LATE ARRIVAL

Check-in is also possible outside reception opening hours via the self-service kiosk.

Instructions for late check-in will be sent by email approximately 1–2 days before arrival. Self-service check-in is only possible if the reservation has been paid in advance.

If the reservation has been made through an external booking platform, the customer must ensure that they have received the necessary instructions before arrival.

12. FORCE MAJEURE AND APPLICABLE LAW

The hostel is not responsible for damages or failure to fulfill obligations due to force majeure or other circumstances beyond the hostel’s reasonable control.

Guests are expected to follow hostel rules and general good conduct. Violation of these rules may result in the guest being removed from the hostel without refund.

Finnish law shall apply.

13. OTHER TERMS

General house rules and good manners must be observed at the hostel. Quiet hours in the hostel are from 22:00 to 07:00.

Bringing outside visitors into the hostel premises is not permitted.

Violation of hostel rules may result in immediate termination of the stay without refund.

Hostel Café Koti reserves the right to change prices, terms and information.

Unless otherwise stated in these terms, the general accommodation and cancellation terms of the Finnish Hospitality Association (MaRa) apply. Customer information is handled confidentially in accordance with applicable legislation.
